Receive and qualify an inquiry Turn a website lead into an organized wedding you can quote and book.
  1. Confirm your inquiry form is linked on your website (Booking and Packages → Inquiry Form → Share & Embed).
  2. When a couple submits, open My Business → My Weddings and find the new lead.
  3. Review ceremony date, location, and contact details in the wedding overview.
  4. Set the booking phase (status) to match where you are — new inquiry, in discussion, quoted, etc.
  5. Add internal notes so you remember context before your first call.

Common mistakes

  • Forgetting to block the date on your availability calendar after you verbally hold it.
Send a quote from your rate card Build pricing inside the wedding so the couple sees one clear total.
  1. Activate the wedding if you have not already — wedding Financials, quotes, and portal pricing require it.
  2. Open the wedding → Financials.
  3. Add line items from your rate card or enter custom fees.
  4. Review taxes and discounts if your business uses them.
  5. Share the portal link so the couple can view the quote when the wedding is activated, or send your quote by email if still on the free light portal.
Activate a wedding Unlock the full couple portal and ceremony tools for one wedding.
  1. Open the wedding you want to upgrade.
  2. Find the full wedding workspace card and choose Activate.
  3. Confirm — $15 unless you have already reached this month’s $45 operator maximum, in which case the unlock is complimentary.
  4. The couple portal expands: vows, ceremony browser, VIPs, contracts, payments, wedding Financials, and more.
  5. Resend or copy the couple magic link from the wedding if they need a fresh email.

Common mistakes

  • Activating before you have reviewed the lead — you can stay on free tracking as long as you like.
Send a contract and collect signatures E-signatures for both partners and your countersignature.
  1. Create or review your contract template under Client Templates → Contracts.
  2. In the wedding, open Contracts and attach or release the agreement to the couple.
  3. Both partners sign in the couple portal.
  4. Watch the Dashboard Action Required panel — it alerts you when your countersignature is needed.

Common mistakes

  • Contract templates are starting points — have your attorney review before live use.
Collect a deposit with Stripe Record payments and optional payment-only links for parents.
  1. Connect Stripe under Studio Setup → Integrations if you have not already.
  2. Add pricing line items and deposit terms in Financials.
  3. The couple pays through the portal, or you log a manual payment you received elsewhere.
  4. Use payment-only links when someone other than the couple pays (designated payor).
Build a ceremony script with the couple Collaborate on elements while keeping officiant-only cues private.
  1. Open the wedding → Ceremony Builder.
  2. Pull elements from your library or start from a ceremony template.
  3. Mark sections the couple may favorite or comment on when the portal allows.
  4. Use duration estimates to keep vows and readings balanced.
  5. Publish to the couple portal when you want their feedback.
Use Day-of Mode at the altar Large-type, dark-mode script reader with offline backup.
  1. Finalize the ceremony script before wedding day.
  2. Open the wedding → Day-of Mode on your tablet.
  3. Download the offline backup while you still have Wi‑Fi.
  4. Use swipe or tap to advance through script blocks at the altar.

Common mistakes

  • Skipping the offline download at a venue with weak cell service.
Share vendor or guest portal links Give day-of professionals and guests the right view — nothing more.
  1. Activate the wedding first — guest and vendor portals require it.
  2. Complete VIP list and timeline details the portals should show.
  3. Copy vendor portal links from the wedding for DJ, planner, or photographer.
  4. Share the guest portal URL on the couple's wedding website.
Import an old ceremony or VIP list Paste messy text; review before it affects your wedding data.
  1. Open Ceremony Library → Importer for scripts, or the VIP importer inside the wedding.
  2. Paste your legacy Word doc, email, or shot list.
  3. Review every suggested block or name — nothing saves until you confirm.
  4. Edit in the normal builder after import.
Read your business reports Revenue, pipeline, and lead sources over time. Financial totals require wedding activation on each wedding.
  1. Financial reporting — revenue, contracted totals, outstanding balances, service mix, and CSV export — only includes weddings where full wedding workspace is active. Free inquiries still appear in pipeline funnel and lead-source counts, but they do not have in-wedding pricing, invoices, or payments until you activate.
  2. Open My Business → Reports.
  3. Set a date range and choose event date or payment date.
  4. Business tab: revenue, bookings, funnel, and upcoming load (financial metrics from activated weddings).
  5. Money tab: outstanding balances and payments received (full wedding workspace weddings only).
  6. Growth tab: lead sources, geography, and service mix.
  7. Export CSV for your bookkeeper if needed.

Common mistakes

  • Expecting revenue from a wedding you never activated — activate the wedding when you are ready to quote, contract, and collect payment in Studio.

Frequently asked questions

Account & billing

Is there a monthly subscription?

No. There is no monthly subscription. Wedding activation is $15 a wedding. You only pay up to $45 a month per person on your team.

What does wedding activation unlock?

Activating the wedding for $15 opens the full workspace for that wedding — full couple portal, guest and vendor portals, contracts, payments, ceremony tools, and day-of mode.

When should I activate the wedding?

Whenever you want the full portal live: on every inquiry, after you qualify a lead, at booking, or never. Free tracking has no time limit.

How do wedding activations work?

Public purchasing is not open yet. Beta participants receive 25 wedding activations that do not expire.

Leads & weddings

What is a wedding workspace?

One wedding workspace holds contacts, pricing, ceremony, contracts, portals, and day-of details for a single couple.

What is free before I activate the wedding?

You track the lead, set statuses, and the couple gets a light portal: contact info, ceremony and rehearsal locations, date and time, and The Story of You. In-wedding pricing, quotes, contracts, payments, invoices, and financial reporting are not available until full wedding workspace is active on that wedding. You can still configure your studio rate card so it is ready when you activate.

How do booking phases work?

Phases (new inquiry, quoted, booked, completed, etc.) are customizable under Studio Setup → Booking Phases. They drive your dashboard pipeline counts.

Can wedding planners submit inquiries?

Yes. Your inquiry form can collect planner contact details separately from the couple.

Couple portal & communication

How do couples log in?

No passwords. Couples use secure magic links from email. Resend links from the wedding if needed.

Are vows private until the ceremony?

Yes. Each partner writes separately in Vow Workshop. Partners compare length without seeing each other's words until you choose to reveal them.

Is AI required for vows?

No. Optional writing help (polish, romanticize, lengthen, shorten) is always the couple's choice.

Can I message the couple inside the studio?

Yes. Use wedding Messages. Unread couple messages appear on your Dashboard under Action Required.

Money & reports

How do deposits and balances work?

Build pricing in Financials after the wedding is activated. Record Stripe payments or manual payments. The couple sees balance due in the portal after that wedding is activated.

Can a parent pay without full portal access?

Yes. Payment-only links let a designated payor submit payment without seeing the full couple portal.

Where do I see revenue and outstanding balances?

My Business → Finances on each wedding (full wedding workspace required). My Business → Reports for trends, AR aging, and CSV export. If you mix free inquiries with activated weddings, financial tabs only include weddings where full wedding workspace is active — free weddings have no in-app pricing or payments to report.

Why is a wedding missing from my financial reports?

Financial metrics — revenue, contracted totals, balances, service mix, and CSV export — require wedding activation on that wedding. Pipeline funnel and lead-source charts can still count free inquiries, but money reporting needs activated weddings with wedding pricing and payments.

AI Assistant

Can I connect ChatGPT or Claude to my Studio?

Yes. Open Studio Settings → AI Assistant, copy your Studio link, and add it as a custom connector in ChatGPT or Claude. Sign in when prompted. Your AI can then answer questions about your schedule and couple checklists using live Studio data.

Ceremony & day-of

How does Magic Import work?

Paste unstructured text. The system suggests structure; you review and edit before anything affects procession, seating, or portals.

Does Day-of Mode work without cell service?

Download the offline backup before the ceremony. Day-of Mode is built for weak Wi‑Fi venues.

Does it handle reception seating charts?

No. You Had Me At I Do covers procession, reserved ceremony seating, VIPs, vendors, and altar positions — not full reception table plans.

What do beta participants receive?

Selected participants receive 25 wedding activations that do not expire, in exchange for real-world use and feedback. Officiants, DJs/MCs, and professionals who do both are eligible.

How do I share feedback?
