Where and when

Logistics is geography. The schedule is the clock.

Ceremony and reception venues, travel between them, and the times that everything else hangs off. The couple sees venue details in their portal. DJ Suite knows whether there is a ceremony leg.

Venues & travel

Names, addresses, contacts, date and time, and the notes you do not want in a text thread. Rehearsal, ceremony, and reception can be three places.

One run of show

Ceremony, photos, cocktail hour, grand march, toasts, dancing — in order. Each row can show to vendors, VIPs, guests, or stay staff-only.

Starter templates

Church plus reception, all-in-one venue, and other shapes you already run. Start from a studio template instead of a blank timeline.

Couple sees the plan

Venue details and the public schedule live in the couple portal. You are not forwarding a new PDF every time the first look moves.

People

Type the wedding party once

VIPs are the named roles — not generic guests. Vendors are the professional team. Both rosters feed portals and day-of lookup.

VIPs

  • Display name, role, side, pronunciation
  • Feeds procession, seating, and altar
  • Feeds DJ grand march introductions
  • VIP portal staging uses the same roster

Vendors

  • Florist, photographer, planner, venue — the planning directory
  • Day-of rolodex with tap-to-call
  • Vendor portal after QR check-in
  • Never see contracts or payments

Ready for the venue

Checklists for you. Backup when Wi-Fi dies.

Internal checklists stay in the studio. Backup & Send packages the wedding for a dead-zone venue or an emergency handoff.

Internal checklists

Confirm the COI. Print programs. Call the county. Studio tasks — not the couple-facing checklist in the portal.

Backup & Send

Download or email an offline copy: timeline, script, VIPs, vendors, seating, pronunciation notes. Same data Day-of Mode uses.

Day-of Mode

Phone or tablet presentation — large type, no drag handles. Nobody accidentally moves the first dance while standing in the barn.

Builder vs day-of

Folio tabs are how you edit. Day-of is how you perform. One plan, two modes.

Where it shows up

The plan is useless if it stays in your laptop.

Portals

Guests, VIPs, and vendors each see their slice of this schedule.

Day-of Mode

Staff execution view — script, staging, logistics, music, VIPs, vendors.

Questions wedding pros ask

One clock. Not four PDFs.

Is event management a separate product?

No. Venues, the run of show, checklists, vendors, and VIPs live on the same folio as Bookings. Portals and Day-of Mode read that plan — they are not another spreadsheet.

Who sees the schedule?

You build one timeline. Each row can show to vendors, VIPs, guests, or stay staff-only. Guests get the public slices. Vendors get load-in and cues. VIPs get staging. You do not maintain four copies.

What is Backup & Send?

Before you travel to a dead-zone venue, download or email an offline copy of the wedding — timeline, script, VIPs, vendors, and the notes you cannot afford to lose. Day-of Mode uses the same data with the editing tools stripped away.

Do I type the wedding party more than once?

VIPs are one roster. Procession, grand march introductions, the VIP portal, and day-of lookup all use those names. Change a pronunciation once.
